Booking terms

1. Who you are dealing with
ViaMeet is a marketplace operated by TenviaOS, a division of New Venture Management Inc. ("we", "us"). It lists meeting rooms, offices, desks and event spaces offered by independent workspace operators ("operators"). When you book through ViaMeet you enter two relationships: with us, for the use of the marketplace and the handling of your payment, and with the operator, who provides the space.
These terms apply to everyone who browses or books on ViaMeet. By making a booking you accept them, together with the house rules and cancellation policy the operator shows at checkout.
2. Your account
You can book as a guest. A booking creates a ViaMeet account keyed to your email address so you can see every booking in one place; you sign in with a link we email you, and there is no password. Keep your email account secure — anyone who can read it can sign in as you.
You must give accurate contact details. Operators rely on them to reach you about your booking, and we use them for confirmations, reminders and receipts.
3. Bookings and payment
A booking is confirmed when your payment is accepted. The price you see at checkout is the price you pay; where an operator requires a deposit it is shown separately and charged at the same time. Card details go straight to our payment processor, Stripe, and never touch our servers.
Some extras ("Ask us" add-ons) are quoted by the operator after you book. Nothing is charged for them until you approve the quote.
Prices are in Canadian dollars unless the listing says otherwise. Taxes are shown on your receipt.
4. Refundable deposits
A deposit protects the operator against damage, extra cleaning or a no-show. After your booking ends the operator reviews the space. If nothing is owed, the full deposit is refunded to your card; if the operator keeps any part of it, your receipt says how much and why.
Deposits are always refunded in full when you cancel, whatever the cancellation terms say about the booking fee.
5. Changing or cancelling
Each listing shows its own free-change window — by default until 24 hours before the booking starts. Inside that window you can move the booking to another open time or cancel it for a full refund, from your bookings page.
After the window closes, cancelling keeps a late-cancellation fee, shown on the listing as a share of the space fee (50% by default). The rest, and the whole deposit, is refunded. Bookings cannot be moved once the window has closed.
If an operator cancels a confirmed booking, you receive a full refund including the deposit.
6. Using the space
You agree to the operator's house rules shown at checkout, to use the space only for lawful purposes and within the capacity listed, and to leave it as you found it. You are responsible for your guests.
Arrival details — entry instructions, parking, Wi-Fi — are for you and your guests only. Door codes are shared shortly before your booking and must not be passed on.
7. The operator's responsibility
The operator owns or controls the space and is responsible for it: its condition, safety, accessibility, amenities and the accuracy of its listing. We do not inspect spaces and do not guarantee that a listing is accurate or that a space suits your purpose.
Issues with a space should be raised with the operator first — every booking names them. If you cannot resolve it, contact us and we will help.
8. Our role and liability
We provide the marketplace, process payments on the operator's behalf and pass your booking to them. We are not a party to the booking itself.
To the extent the law allows, our liability to you in connection with a booking is limited to the amount you paid through ViaMeet for that booking. We are not liable for indirect losses, or for anything that happens in a space, which is the operator's responsibility.
9. Your information
We handle your information under the TenviaOS privacy policy. Your name, email and phone are shared with the operator you book with so they can host you; they may only use them for your booking.
10. Changes to these terms
We may update these terms as the marketplace grows. The date at the top says when they last changed. Bookings made before a change stay on the terms that applied when they were made.
